Atelier Soed Idee is the data controller responsible for the processing of personal data described in this policy.

Depending on how you interact with us, we may process the following information:

5. Sharing personal data with third parties

We use external service providers to support our business activities. These providers receive personal data only where necessary for their services.

CCV Shop
Our e-commerce platform, which processes customer information, orders and other data necessary for operating our online stores.

MailerLite
For managing mailing lists and sending newsletters. This may include names, email addresses, subscription details and newsletter engagement information.

Google (Gmail)
For business email communication and responding to customer enquiries.

Mollie and other payment providers offered at checkout
For securely processing payments. Depending on your selected payment method, payment providers may process personal and payment information.

WebwinkelKeur
For collecting customer reviews and sending review invitations. We may share your name, email address and relevant order details for these purposes.

PostNL, MyParcel and other delivery providers
For preparing, registering and delivering orders. Necessary shipping and contact information is shared for these purposes.

Moneybird
For invoicing and financial administration.

OpenAI (ChatGPT)
For assistance with order processing, customer service, administration, communication and newsletter management. Further information is provided in section 6.

Where required, we make appropriate arrangements with service providers concerning the protection of personal data. Some providers process information under their own responsibility and privacy policies.

We do not sell your personal data to third parties.

6. Use of artificial intelligence (AI)

Atelier Soed Idee uses artificial intelligence, including ChatGPT provided by OpenAI, to support various day-to-day business activities.

AI may be used for:

• Assisting with order processing and administrative tasks

• Preparing and responding to customer correspondence

• Processing and analysing information from our online store

• Supporting newsletter management and communication

• Drafting and improving written content

During these activities, AI tools may access personal data stored in our e-commerce platform, mailing lists or other connected services.

Depending on the task, this may include names, contact details, order information and correspondence.

AI is used as a supporting tool. Atelier Soed Idee remains responsible for its services, communications and decisions.

We have disabled the setting in our ChatGPT account that allows conversations to be used for training and improving OpenAI's AI models. This does not mean that OpenAI carries out no other processing or temporary storage of data.

We aim to limit the processing of personal data to what is necessary for the relevant activities.

7. Data retention

We retain personal data only for as long as necessary for the purposes for which it was collected, unless a longer retention period is required by law.

• Order and invoice records: generally seven years where they form part of our statutory tax records.

• Customer accounts and order history: for as long as necessary to provide our services, manage customer accounts and comply with legal obligations.

• Customer service correspondence: for as long as necessary to handle enquiries, complaints and related follow-up matters.

• Newsletter information: for as long as you remain subscribed. After unsubscribing, limited information may be retained to respect and document your unsubscribe request.

• Technical and analytical information: according to the applicable retention periods of the relevant systems and services.

Personal data that is no longer needed will be deleted or, where possible, anonymised.

8. Data security

We take appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access and unlawful processing.

These measures include secure connections, access controls and security features provided by our service providers.

Access to personal data is restricted to people and systems that require it for their work.
